Files can only be accessed by knowing the web page, username, and password unique to those files
Passwords are for one time use only. Every time someone downloads the file a new password is sent to them
Your files are on CipherSent for no more than 30 days. After this files are automatically deleted
The link to the files and the password are sent using different media
If an unauthorised person tries to access files the recipientâs access is locked out for an hour after five unsuccessful attempts
Permissions to your files are automatically restricted to the recipients you name. You donât have to set this separately.
Recipients donât need to have an account so they donât need to remember their password and there is nothing for unauthorised people to try and compromise.

Existing solutions for transferring files might not be secure enough either because they only require you to have the right link to download the file or because they can be difficult to use. If something is difficult to use then it takes time to remember how to do use it. This can be the difference between someone making sure a file is secure or not.
CipherSent has been designed from the outset to make the transfer of files simple.
The philosophy behind the design is that to be secure it also has to be simple to use.
Files can be transferred in three easy steps:
1. Login to CipherSent.
2. Add the files you want to transfer.
3. Tell CipherSent who to send the files to.
Itâs just as easy for recipients:
1. Click on the link in the email to go to the right web page.
2. Authenticate by using your email address and the one time passcode sent to you.
3. Download the files.

CipherSent takes care of the security of your files by automating the transfer:
Files are always encrypted by CipherSent from the moment they leave your computer. CipherSent uses the same encryption standards used by banks and the military.
CipherSent automatically generates a unique link, which is almost impossible to memorise, for your files to be downloaded from. Anyone trying to download files from CipherSent needs to know the unique combination of, the web page address, the username of the person allowed to use that web page, and the one time password which is unique to that person for that transfer.
CipherSent automatically creates a strong one time password using a random selection of characters and numbers making it extremely difficult for someone to guess the right password. This way the person sending the file doesnât have to think of a complex password, or as is usually the case, use a password that is easy to guess. A different password is sent to each recipient, and each time someone downloads the file they are sent a new password.
Passwords are sent by text and the link to the files is sent by email. This ensures that the link to access the files and the password are always sent using different channels so there’s no chance of the file and password being contained in the same message.
If someone tries to gain access to the files with an incorrect password they’re locked out after five attempts and you’re sent a notification. With some solutions if the encrypted file is sent to the wrong person they can download a tool to âbreak inâ to the file by getting the tool to automatically keep on trying different passwords until it finds the right one. CipherSent will automatically stop access to the file for an hour after five incorrect passwords are used. Over the course of 30 days this means that only 3,600 passwords can be tried, from a pool of over 1,000,000,000,000,000,000,000.
The platform that CipherSent runs on is regularly checked for vulnerabilities. Access is extremely restricted and is only from a limited number of known locations, by a handful of people who need to use multi factor authentication to login.
After 30 days files are deleted. On some systems deleted means that the pointers to the files are removed but the actual data can remain on the system for some time afterwards. When files are deleted by CipherSent they are completely removed and the disk space where the file was is overwritten a number of times to make sure that recovery of the file is impossible.
We only use Tier 4 data centres which report to SOC3. Why is this important? It means that the company which hosts the platform on which we store your data is independently assessed to make sure they achieve compliance to a recognised standard.
All of your data will always be stored within the EU (European Union) for organisations based in the EU. Other locations can be added for organisations that need to comply with their local legislative and regulatory requirements.
